General Regulations

The purpose of the festival is to create an open space for the development of cultural international contacts in the field of musical arts, to cultivate respect for achievements in world culture among children and youth, and to strengthen friendship and mutual understanding among children from different countries. The festival is organized under the patronage of:

  • The Ministry of Culture of the Czech Republic
  • The Senate of the Czech Republic
  • Vadim Petrov School of Arts
  • Alvaro Gomes Music Foundation
  • Jan Deyl Conservatory of Prague.

Participation in the festival is open to groups of various genres:

  • academic, folk, and mixed choirs,
  • children’s and youth choirs,
  • vocal ensembles and soloists,
  • choreographic ensembles and soloists,
  • orchestras and string, wind, and folk ensembles and soloists,
  • circus ensembles and soloists,
  • folk groups,
  • fashion theaters,
  • musical theaters,
  • and more.

Children from 4 years old, youth, and adults with no age limit. Exceptions can be made in certain cases, but these must be individually discussed with the organizing committee.

There is a 20% tolerance in the age limits for nominations.

The jury is appointed by the organizing committee and consists of esteemed personalities from Czech and European culture, as well as teachers from leading musical and choreographic institutions in Europe.

  • Overall impression (maximum 10 points)
  • Performance technique (maximum 10 points)
  • Acting performance (maximum 10 points)
  • Musical accompaniment (maximum 10 points)
  • Originality of the performance and presentation (maximum 10 points)
  • Costumes and appearance of props (maximum 10 points)

TOTAL: Maximum of 60 points from each jury member

The jury determines the winners and awards the following diplomas to festival participants:

  • Grand Prix/Great Prize
  • Laureate of the 1st, 2nd, and 3rd degree
  • Diploma of the 1st, 2nd, and 3rd degree
  • Festival Participant

Monetary Prizes:

  • 1000 EUR (Great Prize)
  • 100 EUR (Special Jury Prize)
  • 100 EUR (Best Solo Performance)
  • 5 certificates with a nominal value of 25 EUR for participation in the CyberArt online festival.

Monetary Prize Details:

  • Great Prize: The group awarded the Grand Prix will receive a monetary prize of 1000 EUR (one thousand euros). This prize is awarded in cash to the group leader during the gala concert.
  • Special Jury Prize: A monetary prize of 100 EUR (one hundred euros) is awarded to the group or individual who receives the Special Jury Prize. This prize is optional and is awarded solely based on the personal evaluation of the jury and only to informed groups/individuals.
  • Best Individual Performance Prize: A monetary prize of 100 EUR (one hundred euros) is awarded to the best individual performer.
  • CyberArt Certificate: 5 participants (groups or soloists) of the festival receive a certificate for participation in the CyberArt online festival, with a nominal value of 25 EUR, according to the jury’s decision.

Judging Process:

  • The jury makes decisions based on the points awarded. In case of a tie, the Jury Chairperson makes the final decision.
  • The decisions of the jury are final and cannot be contested.
  • The jury is not obligated to award the Grand Prix if no group achieves the required number of points (the minimum number of points for the Grand Prix is 95% of all available points).
  • The jury is not obligated to award the Best Individual Performance prize if no individual achieves the required number of points (the minimum number of points for the prize is 95% of all available points).

Prague, Czech Republic

The latest deadline for submitting applications is 31 days before the start of the Festival. If a Schengen visa is available or can be obtained within a short period, then the application conditions are discussed individually.

Participation in the festival requires payment. This payment consists of a mandatory fee and additional fees that depend on the participants.

  • Program – 3 days/2 nights

Accommodation is in 2*-3* hotels in 3-4 bed rooms. Each participant must pay a fee of 99/125 (without/with bus) euros (the price includes: festival fee for 1 nomination, registration, festival program, accommodation for 3 days/2 nights, meals 2 times a day (excluding drinks). The price is the same for everyone. Children under 2 years old do not pay (without providing an individual bed and meals). Additional fee for accommodation in a double room – 8 euros per day (per person), additional fee for accommodation in a single room – 18 euros per day (per person).

  • Program – 4 days/3 nights

Accommodation is in 2*-3* hotels in 3-4 bed rooms. Each participant must pay a fee of 140/165 (without/with bus) euros (the price includes: festival fee for 1 nomination, registration, festival program, accommodation for 4 days/3 nights, meals 2 times a day (excluding drinks). The price is the same for everyone. Children under 2 years old do not pay (without providing an individual bed and meals). Additional fee for accommodation in a double room – 8 euros per day (per person), additional fee for accommodation in a single room – 18 euros per day (per person).

  • Program – 5 days/4 nights

Accommodation is in 2*-3* hotels in 3-4 bed rooms. Each participant must pay a fee of 140/165 (without/with bus) euros (the price includes: festival fee for 1 nomination, registration, festival program, accompanying program, accommodation for 5 days/4 nights, meals 2 times a day (excluding drinks). The price is the same for everyone. Children under 2 years old do not pay (without providing an individual bed and meals). Additional fee for accommodation in a double room – 8 euros per day (per person), additional fee for accommodation in a single room – 18 euros per day (per person).

  • Program – 7 days/6 nights

Accommodation is in 2*-3* hotels in 3-4 bed rooms. Each participant must pay a fee of 275/330 (without/with bus) euros (the price includes: festival fee for 1 nomination, registration, festival program, accompanying program, accommodation for 7 days/6 nights, meals 3 times a day (excluding drinks). The price is the same for everyone. Children under 2 years old do not pay (without providing an individual bed and meals). Additional fee for accommodation in a double room – 8 euros per day (per person), additional fee for accommodation in a single room – 18 euros per day (per person).

  • Festival excursion Prague-Dresden/Vienna/Budapest

Accommodation is in 2*-3* hotels in 3-4 bed rooms. The price includes: festival fee for 1 nomination, registration, festival program, accommodation for 7 days/6 nights, meals 2 times a day (excluding drinks) in Prague and 1 time a day in other cities. The price is the same for everyone. Children under 2 years old do not pay (without providing an individual bed and meals). Additional fee for accommodation in a double room – 8 euros per day (per person), additional fee for accommodation in a single room – 18 euros per day (per person). Applies only to Prague. Other cities – price on request.

  • In case of cancellation 46 days or more before the competition, no cancellation fee is charged (except for the registration fee of 350 euros).
  • In case of cancellation 7-45 days before the competition, the cancellation fee is 50% of the total program price.
  • In case of cancellation on the day of arrival, the cancellation fee is 100% of the program price.
 
 

Accommodation is provided in 2*-3* hotels, according to the selected category. 

  • Upon agreement, accommodation in a 4* hotel is possible. 
  • Dining is served either in portions or buffet style (depending on the hotel’s conditions). Drinks are ordered separately during lunch. The average price for a drink is 1 euro. Payment is made to the restaurant waiter on-site. 
  • Check-in is from 14:00. Requests for early check-in must be dealt with individually with each group according to the hotel’s possibilities. The festival’s organizing committee must be informed in advance about any issues regarding early check-in at the hotel. 
  • Check-out is by 10:00. Requests for late check-out must be dealt with individually with each group. The price for late check-out must be discussed with the group leader, the organizing committee, and the hotel, depending on the hotel’s possibilities. The festival’s organizing committee must be informed in advance about any issues regarding check-out at the hotel. 
  • Hotel deposit – 10 euros per person. The deposit will be returned upon check-out. 

The organizing committee reserves the right to change the hotel (based on the number of participants and hotel’s capacities), but this change must not compromise the quality of accommodation.

According to the festival conditions, participants are provided with:

3 days/2 nights: 2 meals per day: breakfast, dinner (drinks are not included in lunch)

4 days/3 nights: 2 meals per day: breakfast, dinner (drinks are not included in lunch)

5 days/4 nights: 2 meals per day: breakfast, dinner (drinks are not included in lunch)

7 days/6 nights: 3 meals per day: breakfast, lunch, dinner (drinks are not included in lunch)

Festival trip: 2 meals per day: breakfast, dinner (Prague) and 1 meal per day: breakfast (Dresden, Vienna, Budapest)

In case of the necessity to change the menu for the group due to religious beliefs (or other convictions), the organizing committee must be informed about this fact at least 30 days before the start of the festival. Changing the menu after the group’s arrival is not possible.

 

Participation in the festival automatically implies the consent of the group leader and the parents of children to the taking of photographs and video recordings during the events and the publication of photographs on the official website of the Pitagross Festivals s.r.o., as well as in other promotional materials.

Festival Participation Program (Steps)

Every participant of the festival (group or individual) must submit an application to the organizing committee and provide the following documents for approval to participate in the festival:

  • Signed by the group leader (or individual) or sending party, confirming agreement with the terms of the festival.
  • Document of current regulations signed by the group leader (or individual) or travel agent expressing agreement with the conduct of the festival.
  • Copy of payment confirmation in the amount of 350 euros per group. This advance payment will be deducted from the total amount and is not an additional payment. Upon acceptance of the application and signing the provisions of the festival’s organizing committee, an invoice for the registration fee of 350 euros, a guarantee letter, and consent for photography and video recording will be sent. The festival participant undertakes to pay the invoice within 5 working days and to send to the organizing committee:
  • Copy of payment confirmation in the amount of 350 euros per group. This advance payment will be deducted from the total amount and is not an additional payment.
  • List of delegation members.
  • Signed guarantee letter.

NOTE: By submitting the application, it is automatically assumed that the group leader and all responsible persons have read and agree with the provisions of the festival.

As a response (approval of the application) and confirmation of acceptance of the intention documents, the organizing committee sends an OFFICIAL INVITATION to participate in the festival, confirmation of hotel reservation, and a confirmed list of participants.

The group provides:

  • Completed introduction form (with clearly defined nomination and competition program).
  • Group accommodation (accommodation scheme/plan).
  • Brief history of the group, photograph.
  • Musical accompaniment in .mp3 format (each music file must be named in Latin letters – the name of the collective or surname of the soloist, title of the competition piece).

Payment for the festival is made according to the following scheme:

  1. Payment of the registration fee of 350 euros. In case of cancellation of participation in the festival, the registration fee is non-refundable. The registration fee is not an additional payment and will be taken into account in future mutual settlements. Basic payment for participation can be made in two ways:
  2. Bank transfer (no later than 5 working days before the start of the festival).
  3. Cash on the day of the group’s arrival (before checking in to the hotel). For cash payment, it is necessary to fill out a guarantee letter.

Conducting the festival in accordance with the proposed program of the festival’s organizing committee.

Organizational Details

The festival program listed on the website is for guidance only. The final program with exact schedules for each excursion will be provided to the group leader on the first day of arrival at the venue. The organizing committee reserves the right to change the content of excursion days but will maintain the number of excursions as per the program.

The organizing committee should be informed of any requested changes at least 15 days before the start of the festival. Changes to the program after arrival in Prague are not possible.

Each small group is paired with another group, so the program will be oriented around the other group’s program. Transport from the airport/train station to the hotel and back is paid separately based on the following rates: 1-3 persons – 60 euros, 4-6 persons – 80 euros.

Every participant (group or individual) must prepare 2 competition pieces. Duration of each performance: group – maximum 4 minutes, individual – maximum 3 minutes. Special Conditions:

  • Theatre studios: maximum performance duration is 15 minutes.
  • Orchestras: maximum performance duration is up to 10 minutes. Failure to adhere to these time limits may result in penalties:
  • Up to 30 seconds over the limit – 1 point deduction
  • 31 to 45 seconds over the limit – 2 point deduction
  • 46 seconds to 1 minute over the limit – 3 point deduction
  • More than 1 minute over the limit – 4 point deduction If the timing exceeds by more than 50%, the team will be disqualified.
